Procedure of Elec on for Execu ve Board of Directors

a) Elec on to the Board of Directors for the year 2019-2022 will be conducted @ Quality Circle India

one director per zone + two directors in special category.

b) President will nominate two Observers per zone. ED will be Returning officer as

per clause 3.5.3

As per Minutes of the 149 BODMee ng of the Execu ve Board held at Kolkata on 14th

March, 2019, a decision has been taken with respect to the elec on process of Board of
Directors, eligible voters will use SMSsystem for vo ng.

Currently the required SMSPoll so ware has been developed by the renowned Mobile

applica on company IMIMobile based in Hyderabad. IMIMobile is audited by Govt of

India on the ISMS(Informa on Security Management System Cer fica on) regularly as

third-party audit.

Steps for SMSPoll

1. HQ/Chapter will share the elec on process with all the eligible voters through web,

email and SMSon how to vote in dura on of vo ng dates.

Contestants will be given two-digit numerical code against each contestant in respec ve

zone star ng from 11.
For Example:

2. A 10 digit mobile no. is designated for each poll in a zone and we request all the

eligible voters to vote by sending the SMSto the mobile no xxxxxxxxxxx, to be provided

by service provider by typing the candidate code to whom you preferred to vote.

Example : if you have selected candidate B to vote, his code is 12. Now send sms to

the given mobile number xxxxxxxxxx by typing 12 and click send.

3. As soon as the voter send the SMS, he/she will get a confirma on SMS saying
“Congratula ons. Your Vote is accepted. Thank you for your valuable vote” or similar

message. Vote will be rejected in case if they try to vote using SMS more than once as

the system will not accept mul ple votes from single eligible Mobile no.

4. Votes from mobile numbers which are not eligible (not registered with QCFI)will be

rejected automa cally by the system.

5. All the received (polled votes) against each candidate will be stored on IMIMobile
secured systems.
6. On the day of coun ng, both the observers will send the SMS to the service provider
for OTP. Once OTP is received by each one separately, that to be entered by the both
to OTP received by them to service provider. A er confirma on, service provider will
send the results of elec on through registered email.
